  • This position is responsible for preparing sub- agreements with other institutions and consultants resulting from prime awards to the Medical Center. The Office Coordinator/Subcontracts Specialist must be able to identify the type funding mechanism for the prime award and apply the correct Sponsor guidelines to the sub- agreement. The Office Coordinator/Subcontracts Specialist is responsible for tracking the sub- agreement requests through the Interneer system from the “Create Subagreement” stage to the final execution and also reserve a GR identifying number in the University’s Financial Database (GMS). This position requires heavy interaction with Investigators and departmental administrators, therefore, the position requires good communication skills,attention to detail and the ability to work with a wide range of people with a service attitude.
    Basic Qualifications:
  • Bachelor’s degree with a minimum of three years related experience.
  • Must have familiarity with databases, spreadsheets and word processing software.
  • Ability to read Notice of Grant Award and interpret the terms and conditions to pass through to collaborating institutions(s).

Office of Sponsored Research (OSR) seeks a Proposal and Award Management Assistant temporary employee to assist with grant and contract proposal, award and sub-award activities as we transition to new systems and processes related to sponsored research. We anticipate that the additional support will be needed for 6 months. The anticipated activities require a high level of professionalism with appropriate credentials and experience in academic research administration.
Responsibilities: Proposal and Award Management Assistant
• Enter proposal and award information into the Georgetown Management System (GMS)
• Review information entered into GMS by others for accuracy and completeness
• Run proposal and award-related reports to accuracy and completeness
• Review budget-related information for accuracy and completeness
• Enter proposal information into TRACS
• Assist with timely collection, assembly, completion and review of proposal-related information Subcontract Management Assistance
• Review and track electronic transmittal requests for initiation of sub-awards to other institutions using the Sub-award Tracking and Review System (STARS)
• Draft sub-agreements to other institutions and consultants resulting from prime awards to the Georgetown University Medical Center (GUMC) and track agreement completion in STARS. Administrative Support
• Scan paper files to create electronic file library
• Manage hard copy filing system
• Data entry
• Schedule meetings
• Direct visitors and callers to appropriate OSR personnel
• Manage incoming and outgoing mail Requirements
• Excellent verbal and written communication skills, organization skills, and ability to function in a fast-paced academic setting Desired Experience and Skills
• Familiarity with NIH, NSF and DOD grants and contracts
• Budget development and management
• Familiarity with electronic grants submissions through and other electronic portals
• Editing skills, ideally in science or medical field

Web Editor – Georgetown Univ.

GtownWEB EDITOR is responsible for building and maintaining  web presence for Georgetown Advancement Department, including various websites, web pages, multimedia efforts, social media, special projects and software and SaaS migrations, CMS platforms, email marketing tools, and others. This role provides technical expertise to best facilitate Advancement initiatives that may leverage web technologies.

Web Editor will:

  • work closely with colleagues across Advancement and occasionally the university to deliver creative, innovative, user-friendly, and graphically pleasing web solutions to Georgetown’s constituents
  • be an expert in front-end web design and development, cross-site data integrations, client-side scripting for functionality and design customization
  • exhibit excellent communication, problem solving, prioritizing, teamwork, collegiality, and ability to educate staff at their level on technical issues as many of Advancement’s tools have non-technical end users
  • serve many functions, from access-control administrator, special projects technical team member, analytics compiler and analyst, technical consultant, and email marketing manager
  • process email marketing requests from a large number of Advancement staff via a request and ticketing portal; build email jobs with the supplied information( including text content and graphics; construct data queries for recipient lists, tests email properties, confirms copy-editing with Communications staff, and schedules emails based on priority and need)
  • have experience in email marketing platforms and best practices

This position requires extensive knowledge of web design and development, email marketing, access-control principles, and project management.
Specific skills include:
• HTML, XHTML, CSS • JavaScript, JSon, jQuery • Photoshop • Drupal CMS • Responsive web design • Cross-client/cross-device HTML email design
