PURPOSE:   Performs advanced, diversified and confidential secretarial and administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices.  Provides daily clerical and operations support to the VPs of Government Affairs and Public Policy and the Director of Community Affairs, while interacting with all other areas of the company as well as external parties.



Under the direction of the VP, Government Affairs, NCA, the incumbent provides for the execution, follow-up and scheduling of administrative functions directly for the VP.  Accountabilities include, but are not limited to, the following:

Manages the VPs calendars and prepares the VPs for all meetings and events.  Prepares agendas and high quality presentations, and follows up with staff on deliverables/work needed for meetings.  Prepares minutes of meetings. Prepares correspondence, memoranda, reports, and all other materials related to the VPs and Director.

Coordinates and arranges travel and meeting logistics as well as the preparation of the VPs and Director’s expense reporting.  Screens telephone calls and visitors and resolves routine and complex inquiries.  Receives and processes all the VPs/Director’s office mail and inter-office communications.

Provide administrative support for the corporate giving process, Learn MicroEdge Gifts (GIFTS) contribution system and Cvent system, Create & label pending sponsorship request folders through use of the  GIFTS and file completed requests, Generate and Mail Approval (with checks) and Decline letters for sponsorship requests  (more than 400 annually), Make follow-up calls to board members and other stakeholders as follow-up to Cvent invitations as requested.

Assist with implementation of Corporate-wide initiatives which may include, but is not limited to, weekend event staffing, display preparation, Staffing of event desks, coordinate displays e.g. United Way, Associate Walk campaigns, etc., Coordinate with Facilities to execute events in Cafeteria, Multi-purpose room, etc.

Performs other administrative functions including organizing and maintaining the VPs office files, on-going maintenance of the VPs rolodex, answering phones, paying bills and invoices.Engages conference services to schedule board rooms meetings for PPCA and nonprofit organization meetings, kick-off events, etc.  Secures and maintains appropriate levels of office supplies and equipment.


Abilities/Skills:  Skilled PC use with word-processing, spreadsheets, presentation programs.  Incumbent must be skilled in preparing executive level presentations.  Must demonstrate excellent problem solving skills, ability to act independently and manage multiple priorities.  Must possess excellent interpersonal skills and the ability to interact effectively with all levels of management and personnel and be able to maintain confidentiality.  Must possess the ability to handle a large workload volume in an efficient and professional manner, as well as demonstrate work schedule flexibility.

Preferred:  Some college level courses, an Associate’s degree or clerical certification is preferred.  Experience in the Health Insurance/Healthcare industry, as well as experience with the state and federal legislature are desirable.

5 + years /Executive (Vice-President) level administrative experience.

The associate is primarily seated while performing the duties of the position.  Occasional walking or standing is required.  The hands are regularly used to write, type, key and handle or feel small controls and objects.  The associate must frequently talk and hear.  Weights up to 25 pounds are occasionally lifted.
