SUMMARY:

This position provides administrative support to Account Managers and the Director in the day-to-day operations of the department.  The position is also responsible for assisting with requests from our Federal agencies and current and prospective members.

ESSENTIAL DUTIES AND RESPONSIBILITIES may include, but are not limited to, the following:  Under the general supervision of the Manager, FEHBP Account Management and OPM Relations:

  1. Answer the telephone(s), open and distribute mail, generates and assist in the preparation of materials necessary for presentations at seminars, assist in preparing letters and memos by correcting grammar, spelling, punctuation and properly formatting if needed, maintain spreadsheets for wellness fairs and seminars.    Maintain, monitor and order office supplies, maintain files for reference purposes and research files for information upon request, complete One Stop (service requests) for computers, cell phones, etc. when needed, complete reprographic requests on-line, assist Account Manager with the annual Health Benefits Officers Spring and Fall Seminars.  Coordinate and prepare various federal awards for presentation to members, schedule conference rooms for meetings, update member addresses and request Identification Cards on-line through FEPDirect, and complete special projects as required or requested.
  2. Prepare packets for pre-retirement seminars, wellness materials for wellness fairs, kits for lunch and learn seminars, prepare and mail materials and supplies when requested and keep all materials and supplies well stocked.  Collect and review Work Effort Time Distribution Sheets for accuracy and timely submission.
  3. Assist with Coordination of Open Season Health Fairs.  Prepare and maintain updated spreadsheet with detailed information for all open season activities, provide fulfillment vendor with detailed delivery and shipping instructions, work closely with vendor(s) and agencies to ensure all materials are delivered by specified date(s).  Navigate AP system in Oracle to research status of check requests in order to respond to vendor inquiries. Act as an Administrative back-up to Account Managers in their absence, assisting Health Benefits Officers with making enrollment corrections and changes through the FEP Operations Center and assisting members and prospective members with simple inquiries.

QUALIFICATION REQUIREMENTS: Applicant must have at least five years of related experience.  Applicant must possess excellent oral and written skills.  Previous experience in coordinating projects, seminars, and workshops, along with strong problem solving skills is essential.  This position requires advanced knowledge of PC based word processing systems including MS Word, Excel, and PowerPoint. Applicant must be willing to travel between the Owings Mill and UCP offices as needed.  Applicant must have excellent interpersonal skills and be able to prioritize and perform multiple tasks.

Travel Requirements:  Incumbent must be willing to travel 10 to 15% of the time and willing to work out of the Maryland and the Washington DC offices.

PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an associate to perform the essential duties and responsibilities of the position successfully.  Requirements may be modified to accommodate individuals with disabilities.

The associate is primarily seated while performing the duties of the position.  Occasional walking or standing is required.  The hands are regularly used to write, type, key and handle or feel small controls and objects.  The associate must frequently talk and hear.  Weights of up to 25 pounds are occasionally lifted.
