PURPOSE: Provide administrative support to the Senior Vice President or Executive Vice President

PRINCIPAL ACCOUNTABILITIES:

Under the direct supervision of the SVP or EVP, the incumbent provides for the execution, follow-up and scheduling of administrative functions directly for the SVP/EVP.  Accountabilities include but are not limited to:

  1. Administrative Assistance – Insure special projects meet deadlines, maintain work schedule and preparedness which includes: check up file, Executive Staff Meetings, EVP Integration meetings, OPS Planning & Implementation Meetings, Board of Directors Meetings, Service & Quality Oversight Committee Meetings, and 1-on-1 meetings. Additionally the position is expected to manage the work schedule, prepare EVP for all planned meetings, prepare agenda’s and high quality presentations, and finally to maintain project tracking to help establish priorities.
  2. Secretarial Support – Create and revise correspondence,  phones, calendar schedule, email review and organization, expense/travel reports and statements, and relocation expenses., meeting minutes, typing 60 wpm in proper format and in a neat and efficient manner.
  3. Personnel – Communicates effectively with all employees and with all Executive Staff and their support. Communicates with EVP Operations subordinates and their support. Maintains communications between EVP Operations and Operations Division. Finally creates an atmosphere in which timely and high quality information flows smoothly both up and down the organization and encourages open expression of ideas and opinions.
  4. Maintains professional image. Recognizes confidential and sensitive issues. Works with other EVP’s and their assistants as a team. Supports and responds to the President & CEO’s office at all times.

 

QUALIFICATION REQUIREMENTS:

Required:  A minimum of five years’ experience supporting high level personnel.

Abilities/Skills: Excellent problem solving skills, ability to act independently and manage multiple priorities.  Must possess excellent interpersonal skills and the ability to interact effectively with all levels of management and personnel.  Must have ability to effectively organize and prioritize assignments to meet established deadlines.  Skilled PC use with word-processing, spreadsheets, database management and graphic programs.  Incumbent must be skilled in preparing executive level presentations.

Preferred:  Some college level courses
PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an associate to perform the essential duties and responsibilities of the position successfully.  Requirements may be modified to accommodate individuals with disabilities.

The associate is primarily seated while performing the duties of the position.  Occasional walking or standing is required.  The hands are regularly used to write, type, key and handle or feel small controls and objects.  The associate must frequently talk and hear.  Weights of up to 25 pounds are occasionally lifted.
